Entering and Updating Social Security Number Information
SSN Information (SSNUMBER/FMAS) records whether Eligibility Unit (EU) members provide, agree to provide, or do not want to provide Social Security Numbers (SSN). It does not record SSNs. SSNUMBER appears in the application controlled flow and may be accessed outside of the flow using a fastpath, trancode or menu. This user guide explains the correct procedures for the Food Stamp Program.
When updating SSNUMBER, use the Common Client Data Update (SUPD) screen to enter SSNs in the Common Area. The Common Area sends SSNs to the Social Security Administration (SSA) for verification. Once verified with SSA, FAMIS displays SY (System) and the Common Area V (Verified) and the SSNs do not need to be re-verified.
When completing an application or adding a person, SSNUMBER appears in the controlled flow and displays all EU members. When accessed outside of the flow, it displays all Supercase members.
INSTRUCTIONS
Step 1
To fastpath to SSNUMBER:
On FAMIS Program Participation (FAMISPAR/FM0D), select the application, case or Supercase by entering S on the Sel line in front of the line

- Type SSNUMBER (FMAS) on the Command line
- Press CTRL
- Go to Step 2
Step 2
EU members whose SSN are system verified through SSA show:

- Y in the Agree to Provide field
- SY (system) in the Ver field
Determine what to do when a SSN is not verified for a person:

- Does the person have and agree to provide a SSN? If yes, go to Step 3
- Does the person need a SSN and agrees to apply for one? If yes, go to Step 4
- The person does not wish to provide SSN? If yes, go to Step 5
- Is a SSN provided after the application? If yes, go to Step 7, if no, go to Step 8
Step 3
EU Member(s) Has/Have SSN(s) and Agree to Provide

- Type U on the Command line
- Tab to the Com field and type S
- Tab to the Agree to Provide field, type Y
- Tab to Ver field:
- Enter CS or HC, if the SSN has been given
- Leave Ver field blank to pend the application if s/he agrees to provide the SSN, but does not have it
- Repeat for each EU member who has a SSN and agrees to provide
- Press CTRL to see Successfully UPDATED
Go to Step 6
Step 4
EU Member(s) Do Not Have a SSN, But Agree to Apply

- Type U on the Command line
- Tab to the Com field and type S
- Tab to the Agree to Apply field, type Y
- Tab to the Refer Date field and type the MMDDYYYY individual is referred to SSA to apply for a SSN
- Leave the Ver field blank to pend
- Repeat for each EU member who does not have a SSN but, agrees to apply for one
- Press CRTL to see Successfully UPDATED
- Go to Step 6
Step 5
EU Member(s) Do Not Want to Provide SSN(s)

- Type U on the Command line
- Tab to the Com field and type S
- Tab to the Agree to Provide field, type N
- Leave Ver blank
- Repeat for each EU member who does not wish to provide a SSN
- Press CRTL to see Successfully UPDATED
- Go to Step 6
Step 6
Add an individual comment for each person

- Press F18=COMMENT to access SSN Information Comment (FMF7)
- Record whether the SSN or SSN application is provided or verified
- Press CTRL to see Successfully ADDED
- Press F21=RETURN to return to Select SSN Information Comment (FM83)
- Press F21=RETURN to return to SSNUMBER

Complete Steps 7-9 when a SSN or application verification is received
Step 7
When the SSN or SSN application verification is provided:

- Type U on the command line
- Tab to the Com field and type S to select the EU member
- Tab to the Apply Date field and type the MMDDYYYY the individual applied for a SSN
- Leave blank when a SSN is provided
- Tab to Ver field and enter the verification code
- Repeat for each EU member who has provided SSN or application verification
- Press CTRL to see Successfully UPDATED
- Press F18=COMMENT to add a comment describing verification
- Go to Step 9

If the SSN(s) or application verification is/are not provided by the application due date, determine if there is good cause.
If good cause exists:

- Type U on the command line
- Tab to the Ver field and type GC, or prompt for the good cause reason
- Press CTRL to see Successfully Updated
- Press F18=COMMENT and record the good cause reason
If there is not good cause, process the application and exclude the individual(s) for whom a SSN or application verification is not provided:

- Type U on the command line
- Tab to the Com field and type S for the EU member
- Tab to Agree to Provide field, and change the Y to an N
- Tab to the Apply field and change the Y to an N
- Press CTRL to see Successfully UPDATED
- Press F18=COMMENT and record why the individual(s) are not being included in the EU and that good cause was explored and not met
NOTE: If completing an initial application and the SSNs are not provided for the entire EU, leave the verification field blank to pend the application for 61 days
Step 9
When working outside of the application controlled flow (fastpathed to SSNUMBER), complete an eligibility determination.

- Type EDRES (FM3Y) on the Command line and press CTRL
- When Eligibility Determination Resolution (FM3Y) appears, press F14=REQED
- When Supercase Eligibility Unit Summary (FM30) appears, use the function keys at the bottom of the screen to review the determination to make sure it is correct
- Press F18=SELAUTH
- On Select Authorization (FM3G), press F14=AUTH
- On Action Authorization (FM3H), press F24=NEXTSEL to review the recommended actions
- Press F23=AUTH to authorize the actions, if they are correct, if not, correct the determination
