Search for a Person
The Person Search process is very important in MEDES. Searching thoroughly can prevent duplicate MEDES IDs or DCNs. Duplicates impede processing and can result in duplicate participation.
There are two different ways to search for participant in MEDES. Below the steps are listed in the preferred order beginning with step 2.
If a participant is not known to MEDES, after doing a comprehensive search, use the Register a Person in MEDES instructions to add them.
TO SEARCH FOR A PERSON:
- Navigate to the Home work space tab > Search for a Person quick link
- Under Additional Search Criteria > Enter the:

- First 3 letters of the participants First Name
- First 3 letters of the participants Last Name
- Gender
- Select Search
- Search results display at the bottom of the screen. Results display all close matches, with Name/ID; DCN/Address/ and date of birth. Click the Toggle open the Person to view more details
- Compare all returned results to see if one (or more) are your participant
- You may have to open the person page to check SSNs and other information
- If you found no results, try alternative name and spellings (see the Note, and Helpful Tips below)
- Search results display at the bottom of the screen. Results display all close matches, with Name/ID; DCN/Address/ and date of birth. Click the Toggle open the Person to view more details
- Search again by SSN
- Select Reset
- Under Search Criteria enter the Social Security Number In the Reference Number field
- Select Social Security Number under Type
- Select Search
- Compare these returns to your previous returns
- If the participant is known to MEDES but does not have their SSN captured in the Evidence sub-tab of their Person Page and you have the SSN, you must add their SSN following direction in the Add Social Security Number to Person PageMEDES Resources Guide.
- If a duplicate MEDES ID or DCN is found, the numbers must be merged. Talk to a supervisor regarding local office process for merging MEDES IDs. DO NOT make changes or add bogus information to the duplicate ID, as this will carry over onto the Common Area or may also appear on an Active MO HealthNet card. Take no action in MEDES until appropriate resolution is decided.
NOTE: If the previous steps do not yield any results, try entering:
- First three letters of the first name, first three letters of the last name, and the participant’s Date of Birth (leave out the gender)
- Enter the first 3 letters of the first name, full last name, check the Show Sounds Like Names box, and select the gender
- First name and Date of Birth only
- Use the Helpful Tips below and search name variants
- Once you have located your correct person, click the participant’s name hyperlink to open the Person Page
- To prevent creating multiple MEDES IDs if a person is already known to MEDES, make sure the following information on the known ID and entered while registering the application match

- The spelling of the name, including middle name
- Birthday
- Social Security
