Locate Participant’s DCN #

Question 1: Was the participant found when completing a Primary DCN Search? 

  • Yes – Continue to Question 2

  • No- Always assume the customer has a DCN assigned.  It is rare for a customer not to, unless born out of state. Use the Full DCN Guide (See Using SUPD to Search Known Aliases or Making Permanent Changes) to search for name variations, alias, incorrect birthdates, or other near matches.

 

Question 2: Was the participant found with correct information in the Common Area when completing a Secondary DCN Search? 

  • Yes- See Question 3

  • No- Correct the information in the Common Area on the SUPD screen or assign a DCN. Do not assign a DCN until both Primary and Secondary searches are exhausted. Continue to Question 3

 

Question 3: Do you find the participant when completing a Search for a Person in MEDES?

  • Yes- Are there Duplicate MEDES IDs or Duplicate DCNs associated with the participant?

      • Yes- Resolve Duplicate MEDES ID or Duplicate DCN’s

      • No- See Question 4

    • No- Register Head of Household in MEDES

     

    Question 4: Is there an Existing Case(s) for the Participant?

    • Yes- Transfer DCN into MEDES. Then return to Registering an Application in MEDES

    • No-A Registered Application must exist for the Head of Household, before a DCN can be transferred into MEDES. Return to Registering an Application in MEDES

     

     

    Resolve Duplicate DCN and MEDES IDs #

    Step 1: Does the participant have an unlinked duplicate DCN/MEDES ID?

    • Yes – see Step 2

    • No – Transfer DCN to MEDES or register the application for the Head of Household

     

    Step 2: Is the participant with the unlinked duplicate DCN/MEDES ID adopted?

      • Yes – Do NOT link the DCN/MEDES IDs. Follow the steps in the Adoption Review guide to have an adoption review completed on the case. 

    • No – see Resolve Duplicate MEDES ID or Duplicate DCN’s
